Job Description
As a fast-paced, international tech firm, our client is pleased to be adding to their growing office and requires an Executive Administrator to support and assist the CEO. The ideal person is a high level, experienced Admin professional to work supporting the CEO.
Job Description
- Provide support to the CEO overseas
- Serve as the primary point of contact for internal and external contacts on all matters related to the CEO, including those of a highly confidential or critical nature
- Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately
- Anticipate the CEO’s needs in advance of meetings, conferences, etc
- Act as a bridge for smooth communication between the CEO and staff
- Replenish office materials such as snacks, printer supplies, paper, office supplies, etc
- Provide event management support as requested
- Provide hospitality to all guests and help to create a welcoming environment
- Answer the main phone line and respond to inquiries
- Process and distribute daily mail
- Support the CEO’s personal needs when needed
- Presentation skills (creation of different kind of presentations)
- High level negotiation (preferably M&A, due diligence experience)
- Understanding text and content re: Legal matters such as IP, trademarks, understanding contracts structure & clauses
- Able to write articles for blogs, research articles
- Provide effective calendar management for the CEO
- Act as a liaison for the board meetings (schedule meetings, develop, compile, and distribute presentation materials; record meeting minutes)
- Designing and producing complex documents, reports, and presentations for the CEO
- Collecting and preparing information for meetings with staff and partners
Your Profile
- Bachelor’s degree in business administration, legal studies or a related field
- At least 3+ years of work experience in a similar role and level
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize
- Ability to work independently
- Proven ability to maintain discretion and confidentiality
- Excellent communication and interpersonal skills
- Strong problem-solving skills and able to adapt
- Must be technology savvy and proficient with Microsoft Office etc
- Fluent in Russian and English
